Decide a probation decision

When a manager decides how a probation period should end, that decision waits here for an administrator. Two of the three outcomes apply as soon as you approve them; the third does not end anyone’s employment on its own.

Required role: Administrator.

  1. Go to Approvals → Probation Decisions.
  2. Find the decision showing as Pending approval.
  3. Read the employee, the requesting manager, the decision, and the detail — the probation end date, or the date an extension would run to.
  4. Select Approve or Reject.
  5. On a rejection, enter a reason. It goes back to the requesting manager.

ExtendProbation runs to a later date. Approving applies it immediately, and the new end date is shown on the row.
Non-confirmationThe employee does not pass. Approving does not terminate them — it prepares an authorised termination for you to execute as a separate step.

Example: Olivia Bennett confirms James Whitfield at the end of his probation. Sophie Clarke approves it and his record updates that day. On a different report she recommends a non-confirmation; approving that produces a termination to be executed deliberately, not an employment that ends the moment she clicks.

This is the part most easily got backwards. Approving a non-confirmation is an authorisation, not an ending.

Rejecting asks for a reason, which is shared with the requesting manager.

The employee is not affected and is never notified. A probation decision that is rejected leaves no trace on the employee’s own view of their record.

If your organization has bound an approval workflow to probation decisions, the decision is made on the workflow task rather than here, and the row shows that it is awaiting workflow approval.

A confirmation or an extension takes effect on the employee’s record straight away, and the manager can see the outcome. An approved non-confirmation appears as an authorised termination awaiting execution, which is carried out from the termination requests inbox and cannot be undone once it is.
