Create a certification template
What this achieves
Section titled “What this achieves”A certification template defines a credential your organization issues — how long it lasts, what it grants, and when holders are warned that it is running out. Certificates are then awarded from the template, either by hand or automatically on course completion.
Required role: Administrator.
- Go to Learning → Certifications.
- On the Templates tab, select New Template.
- Name the template and set its validity — a number of months, or never expires.
- Set the alert thresholds.
- Set any skills or competencies granted on issuance.
- Save, and set the template to active when it is ready to use.
Validity
Section titled “Validity”| Option | Description |

| Valid for a set number of months | The certificate expires that many months after it is issued. |
| Never expires | The certificate is held permanently. |
Because validity runs from the issue date, holders expire on their own dates rather than all at once.
Alerts warn, they do not enforce
Section titled “Alerts warn, they do not enforce”Alert thresholds fire as holders approach expiry — a set number of days before, and on the day of expiry itself.
Expiry does not revoke the certificate, block the employee, or remove any access. The record is marked expired and an alert is raised; what happens next is your process.
Example: when an HC Corp UK Ltd warehouse employee’s safety certification lapses, Humavera flags it. Taking them off that work is a decision somebody makes.
Set the earliest alert far enough ahead that renewal is achievable in the time it leaves.
Grants on issuance
Section titled “Grants on issuance”A template can grant skills or competencies when a certificate is issued, keeping the credential and the skill profile consistent rather than tracking the same capability twice.
Awarding certificates
Section titled “Awarding certificates”Certificates are awarded from a template, either directly with Award Certification or automatically by a course that nominates the template on completion.
Auto-issue requires the template to be active. An inactive template issues nothing and does so silently, so check the status first if learners are completing a course without receiving anything.
Tracking holders and expiry
Section titled “Tracking holders and expiry”The Issued Certifications tab lists every certificate with its employee, issue date, expiry, and status, sorted by expiry date. It can be filtered to active, expiring soon, or expired.

Work the expiring-soon filter on a schedule. It is the list that lets you renew before a lapse rather than after one.
Archiving a template
Section titled “Archiving a template”Archiving stops auto-issuance immediately and leaves existing holders valid. Use it to withdraw a credential without taking anything away from the people who earned it.
What happens next
Section titled “What happens next”Once a template exists, nominate it on the courses that should issue it, and award it directly where a credential comes from outside a course. The issued list then becomes the renewal workload — check it against the expiring-soon filter rather than waiting for alerts to arrive.
