Configure employee field groups
What this achieves
Section titled “What this achieves”Employee records are built from sections, and not every company needs all of them. This is where you switch sections on and off so your forms ask for what you actually hold and nothing else.
Required role: Administrator.
- Go to Settings → Employee Data.
- Read the Core sections, which are always present.
- Work through the remaining groups and switch each section on or off.
There is nothing to save
Section titled “There is nothing to save”Each switch takes effect on its own and confirms that the configuration is saved. There is no save button and no unsaved state to lose, so change one section at a time and read the confirmation.
The corollary matters more: a switch you flip by accident is already applied. Flip it back.
Core sections cannot be switched off
Section titled “Core sections cannot be switched off”The core group holds the sections an employee record cannot exist without, and the screen states that these cannot be disabled. They are always visible.

The optional groups
Section titled “The optional groups”Sections outside the core are grouped by what they are for, so you can decide a whole area at once.

| Professional Background | Education, prior employers, external certifications, and languages. |

| Work Arrangement | Working hours and schedule, notice period, shift and time settings, and legal entity. |
| Family | Family and dependant details. |
| Public Sector | Sections specific to public-sector employment. |
Each section names what it holds, so read the description rather than guessing from the title.
Some sections carry a marker
Section titled “Some sections carry a marker”Sections are annotated where something about them is worth knowing before you switch them on.

Take the self-identified marker seriously. Sections carrying it hold information people give voluntarily about themselves, and switching one on is a decision to ask your workforce for it.
A section a module needs cannot be hidden
Section titled “A section a module needs cannot be hidden”Where a section is required by a module you have active, it is locked and the screen names which module requires it, saying that it cannot be hidden while that module is active.
That is a dependency rather than a restriction. Switching the module off is what releases the section; there is nothing to change on this screen.
Example: a section required by attendance capture at HC Corp UK Ltd stays locked on while that capability is in use.
Switch off what you do not hold
Section titled “Switch off what you do not hold”Every section left on is a section somebody sees on a form and wonders whether to complete. A record asking for information nobody maintains fills up with blanks, and a blank is indistinguishable from a deliberate omission.
Turn on what your company genuinely holds, and revisit the list when that changes.
Example: HC Corp UK Ltd holding no public-sector employment leaves that group off entirely, so nobody creating a record is asked about it.
What happens next
Section titled “What happens next”The configuration applies to employee forms and profiles across the workspace, so a section switched off stops being asked for on new records and stops being shown on existing ones. Data already captured in a section you switch off is not deleted — it stops being displayed. Where you want a ready-made starting point rather than deciding section by section, apply a template instead.
