Assign and manage assessments

What this achieves

Assigning gives a specific employee access to sit an assessment. Nobody can attempt an assessment they have not been assigned, so this is the step that turns a published assessment into something people actually take.

Required role: Administrator or Manager.

Steps

1. Open the assessment and select Assign.
2. Search for the Employee and select them.
3. Select Assign.

Assignment is a prerequisite

A learner who opens an assessment they have not been assigned is told they need to be assigned before they can take it. Publishing makes an assessment assignable; it does not make it available to everyone.

Example: publishing a compliance assessment at HC Corp UK Ltd does not put it in front of anybody. Tom Hargreaves sees it once he is assigned it.

Managing assignments afterwards

Learning → Assessment Assignments lists every assignment across the organization and is where assignments are managed after the fact — extended, waived, or reviewed. It can be searched by employee, assessment, or profile and filtered by status and department.

Extend	Give a learner more time or opportunity.
Waive	Release someone from an assignment.
Review results	Open what they produced.

Waiving is a decision worth recording deliberately. An assessment waived is an assessment not taken, and if the assignment existed for a compliance reason, waiving it removes the evidence rather than the obligation.

Attempts are limited, and running out is final

Each assessment carries an attempt limit. A learner who exceeds it cannot start again — the interface refuses at the point they try, telling them they may have exceeded the maximum attempts.

That is the situation extending exists for. Decide in advance who may authorise an extension and on what grounds, because the alternative is somebody stuck with no route forward.

Example: an HC Corp UK Ltd employee who exhausts their attempts on a required assessment cannot proceed until an administrator intervenes.

Watching the queue

Filter by status to see what is outstanding rather than what has been assigned. A large number of assigned-but-not-started assignments usually means people were not told, and a large number of overdue ones usually means a deadline nobody agreed to.

What happens next

An assigned learner can sit the assessment. Questions that grade automatically are scored on submission; anything needing a person arrives in the grading queue. Once an assessment is complete, a gap report is generated against job profile requirements.
