Run an onboarding checklist

An onboarding checklist is the set of tasks that turn a new record into a working colleague — paperwork, equipment, access, and introductions. It is created per employee and tracked to completion.

Required role: Administrator.

  1. Open the employee and go to their Onboarding tab.
  2. Choose a template, then select Apply Template.
  3. Or select Create Empty Checklist and build it by hand.
  4. Select Add Task for anything the template did not cover.
  5. Mark tasks complete as they are done.

Use a template. An empty checklist means somebody remembers the standard tasks from memory each time, which is how a new joiner ends up without a laptop.

If no templates exist, the screen says so and points at where they are configured. Set those up once rather than rebuilding the same list per person.

Example: HC Corp UK Ltd applies its standard template to every joiner and adds the one or two role-specific tasks by hand.

Categories are what make a long checklist readable and what let different people own different parts of it.

Tasks show an owner, and an unassigned task is marked as such. An unassigned task is one nobody has agreed to do — the checklist will show it as outstanding indefinitely.

Assign every task, or accept that the unassigned ones are a list rather than a plan.

Example: at HC Corp UK Ltd, IT setup tasks go to whoever provisions accounts and introductions go to the joiner’s manager, so the checklist reflects who is actually doing what.

The checklist shows how many tasks are complete out of the total. Tasks can be completed and reopened, so a task marked done in error can be put back.

A completed onboarding checklist means the joiner is set up. The same employee record then carries their profile, their leave balances once initialised, and their payroll assignment. Offboarding uses the same checklist mechanism at the other end of employment.
