Propose increases for your team

Planning is where a manager proposes what each of their direct reports should be paid in an open cycle. A proposal is a proposal: nothing on anyone’s record changes until the cycle is approved and applied.

Required role: Administrator or Manager.

The cycle has to be open for planning. If the screen reports no active planning cycles, the round has not been launched yet, and there is nothing for you to do until it is.

  1. Go to Compensation → Planning.
  2. Choose the cycle from Select an active cycle.
  3. For each person under My Team, enter the Proposed %.
  4. Check the Proposed New salary that results.
  5. Enter your reasoning under Comments.
  6. If the proposal falls outside the grade band, enter a Band override reason.
  7. Select Submit.
OptionDescription
CurrentThe employee’s salary today.
RatingTheir performance rating, where a performance cycle is linked.
MatrixThe recommended increase and the range you can move within.
Proposed %The increase you are proposing.
Proposed NewThe salary that results from your proposed percentage.
CommentsYour reasoning. This is required to submit.

The row also shows the employee’s grade and their compa-ratio, which is where their salary sits relative to the midpoint of their band. A compa-ratio near the bottom of the band and a strong rating is the case the merit matrix is designed to catch.

Example: an engineer at HC Corp UK Ltd on £61,000 in a band whose midpoint is £70,000 has a compa-ratio well under one, so the matrix recommends more for them than for a colleague on the same rating already above midpoint.

The matrix produces a figure from the rating and the position in range. It is input for you to review and decide on, not a verdict — you propose the number, and an administrator approves it.

The grade band check, and when it does not run

Section titled “The grade band check, and when it does not run”

The band check compares your proposed salary against the minimum and maximum for the employee’s grade. Your proposed figure is annualised before the comparison, so a salary held at a monthly or hourly frequency is scaled up first rather than being compared as entered.

Proposing outside the band is allowed. It asks you for a Band override reason and records what you gave, so an out-of-band salary is a decision with a name attached rather than an accident.

Where the grade band is set in a different currency from the salary, the check does not run. The screen says the band check is unavailable and names both currencies, because there is no exchange rate available anywhere in Humavera to compare them with. The proposal is not blocked, and no override reason is asked for.

Read that state as “not checked”, never as “within band”. The absence of an out-of-band warning is not confirmation that the figure is in range, and this is the one place in the cycle where a wrong number can pass every screen without objection.

Example: an HC Corp UK Ltd salary in GBP against a band held in another currency is not compared at all, so a proposal far above the band’s maximum draws no warning.

OptionDescription
Salary within grade bandThe proposed salary was compared and falls inside the band.
Salary outside grade bandThe proposed salary was compared and falls outside it. An override reason is required.
Band check unavailableThe band is set in a different currency, so no comparison was made.

An administrator can send a proposal back to you for revision with a reason, which appears on the row. Change what was asked for and submit again.

Your submitted proposals roll up against your department’s budget, so what you have proposed reduces what is shown as remaining before anyone approves it. When submissions close, an administrator reviews each proposal and approves, rejects, or returns it.
