Request a new role or a backfill
What this achieves
Section titled “What this achieves”A manager who needs another person asks for the role here rather than by email. The request goes to HR for approval, and an approved request becomes a draft requisition with you named as the hiring manager.
Required role: Manager.
- Go to My Team.
- Select Request position.
- Choose the Request type.
- For a backfill, choose the Employee being replaced from your reports.
- Choose a Job profile if one exists for the role. It is optional.
- Set the Headcount you are asking for.
- Write the Justification. It is required, and it is what the approver reads.
- Select Submit request.
The two request types

| New position | An additional role that does not exist today. |
| Backfill a leaver | A replacement for someone who is leaving or has left. You choose which of your reports is being replaced. |
Example: when a senior software engineer leaves Engineering at HC Corp, Olivia Bennett raises a backfill and names the departing engineer. Asking for a sixth engineer where five exist today is a new position instead, and the justification carries more weight.
The role opens in your own team’s department. You are not choosing which part of the organization it belongs to.
Write the justification for the person deciding
Section titled “Write the justification for the person deciding”The justification is the whole case. An approver reading “needed urgently” has nothing to weigh; one reading what work is uncovered and what happens if it stays uncovered can decide without coming back to you.
Example: “Covering the payments integration after our senior engineer leaves on 31 August 2026 — otherwise the release slips to Q4” is decidable. “Down one engineer” is not.
Raising a backfill from a report’s record
Section titled “Raising a backfill from a report’s record”A report’s own row also offers Backfill, which starts the same request with that person already selected. Use it when the trigger is a specific person leaving rather than a gap you are describing from scratch.
Tracking what you asked for
Section titled “Tracking what you asked for”My requisition requests on My Team lists what you have raised, with the position, the type, the requisition number once one exists, and the status.

| Approved — opened | Approved. A requisition now exists for the role. |

What happens next
Section titled “What happens next”An approved request creates a draft requisition in recruiting with you as its hiring manager. The requisition then has to be completed and published before candidates can apply, which is HR’s step rather than yours. You will see the requisition number against your request once it exists.
