Run a session and mark attendance
What this achieves
Section titled “What this achieves”The session roster is who is registered and, afterwards, who actually came. Marking attendance is what turns a scheduled session into a record of training that happened.
Required role: Administrator or Instructor.
- Go to Learning → ILT Sessions and open the session.
- Select Add Attendee, search for the employee, and register them.
- On the day, mark each person’s Attendance on the roster.
- To mark several at once, select them and choose Mark as with the status you want, then Confirm.
- When the session has run, select Complete and confirm.
Attendance status

| Registered | Signed up. The starting state for everyone added. |
| Attended | Turned up. |
| Absent | Did not turn up. |
| Excused | Did not attend, for a reason you are accepting. |
Absent and Excused both mean somebody was not there, and they say different things about why. Use Excused where the absence was agreed, so a compliance conversation later starts from the right place.
Example: an engineer at HC Corp UK Ltd who was on approved leave on the day is Excused rather than Absent.
Marking in bulk
Section titled “Marking in bulk”Selecting several rows and choosing a status updates them together. The confirmation states what it does: all selected rows are updated in one batch, and individual rows can still be adjusted afterwards.
The efficient order is to mark everyone as attended in bulk, then correct the handful who were not there. On a full session that is two actions instead of thirty.
The roster header tells you where you are
Section titled “The roster header tells you where you are”The roster names how many are registered and how many have been marked as attended. Read those two figures together — a session showing twenty registered and none attended after the event has not been marked up, not been ignored by twenty people.
Where a cap was set, the session shows as at capacity once it is full, and nobody further can be registered.
Completing the session
Section titled “Completing the session”Complete closes the session, and the confirmation states its one consequence: every registration not marked as attended is marked absent.
Mark your attendance before completing, not after. Completing a session you have not marked up records everybody who came as having missed it, and correcting that afterwards is a row-by-row job.
Cancelling and deleting

| Cancel | Calls the session off. The record and its roster stay. |
| Delete | Removes the session. The confirmation states this cannot be undone. |
Cancel a session that was scheduled and did not happen. Delete one that should never have been scheduled.
What happens next
Section titled “What happens next”A completed session records attendance against each person, which is what course completion and any compliance reporting draw on. Where the course carries a certification, the people marked as attended are the ones it can be issued to.
