Post a company announcement

An announcement is company news that stays available to the people it is aimed at, rather than arriving once and scrolling away. You choose who sees it, whether it sits at the top, and when it stops being shown.

Required role: Administrator.

  1. Go to Employee Directory → Announcements.
  2. Select Create Announcement.
  3. Enter the Title.
  4. Choose the Type.
  5. Write the Content.
  6. Choose the Target Audience, and select the departments, teams, or roles where the audience needs them.
  7. Set Expires At if it should stop showing on a date.
  8. Set Pin Announcement if it should sit at the top.
  9. Save it, then select Publish.
OptionDescription
GeneralOrdinary company news.
PolicyA policy change or reminder.
EventSomething happening on a date.
UrgentNeeds attention now.
MaintenancePlanned disruption to a system or service.
HRAn HR matter.

The type is how readers triage a list of announcements. Reserve Urgent for things that genuinely are — a feed where everything is urgent is a feed nobody scans.

OptionDescription
All EmployeesEverybody in the workspace.
Specific DepartmentsOnly the departments you choose.
Specific TeamsOnly the teams you choose.
Specific RolesOnly the roles you choose.

Each narrowed option shows how many you have selected as you pick them. Where there are none available to choose, the form says so rather than offering an empty list.

Example: a change to warehouse shift arrangements at HC Corp UK Ltd goes to the Operations department rather than to everyone. The 18 people it affects read it, and nobody else has to work out whether it applies to them.

OptionDescription
Pin AnnouncementShows the announcement at the top of the feed.
Expires AtHides the announcement automatically after this date.

Pinning and expiry work together. A pinned announcement with no expiry stays at the top until somebody remembers to deal with it, which is how a feed ends up led by news from last quarter.

Set an expiry on anything time-bound at the moment you write it. That is the only moment you reliably know when it stops mattering.

An announcement is created first and published as a separate step, so a draft can be prepared before it goes out.

OptionDescription
PublishMakes the announcement visible to its audience.
ArchiveTakes it out of the feed while keeping the record.
DeleteRemoves it. The confirmation states this cannot be undone.

Archive rather than delete for something that has run its course. The record of what was announced, and when, is usually worth keeping.

An announcement is persistent company news that people find in their feed. It is not the tool for an urgent one-off message that has to reach people by email, and the screen says so, pointing at the notification tools instead.

Choose by whether the message needs to be delivered or needs to be available. A fire drill is delivered; a new expenses policy is available.

Published announcements appear in the feed of everyone in the audience, with pinned ones first and the rest in recency order. An announcement with an expiry hides itself on that date without anyone acting, and archived ones leave the feed while staying on the record.
