Generate US tax forms

Humavera generates standard US payroll tax forms from your finalised payroll, for you or your accountant to file. This page covers producing them, and where Humavera’s responsibility ends.

Required role: Administrator. This screen appears only when your organization has a US legal entity.

State this clearly before anyone plans around it. Humavera generates the forms from your finalised payroll. It does not e-file them and it does not remit taxes — filing and remittance go through a filing partner.

Producing a form here is therefore a step in your filing process, not the completion of it.

The forms are built from finalised payroll, so the periods they cover must be finalised first. A form generated mid-period reflects only what has been finalised.

  1. Go to Payroll → US Tax Forms.
  2. Choose the Legal entity.
  3. Choose the Tax year, and the Quarter where the form is quarterly.
  4. Choose the Employee where the form is per-employee.
  5. Select Download W-2, Download W-3, or Download 941.
OptionDescription
W-2Per-employee annual wage and tax statement.
W-3The transmittal summarising the W-2s for the entity.
941The quarterly federal return.

Two further forms are generated from contractor payments you supply, rather than from this screen: 1099-NEC and 1096. Others are not available yet: 940, 944, and state forms.

Check what is available before committing to a filing timetable that assumes a form Humavera does not yet produce.

Forms are produced per legal entity, because that is the filing unit. A company with more than one US entity produces a set per entity rather than one combined set.

Example: a group holding two separate registered US companies files two sets. Combining them would misstate each entity’s return, even though the same people administer both.

Pass the generated forms to whoever files for you. Because Humavera does not remit, your own filing deadlines and payment obligations are unchanged by generating them here — track those on your own timetable.
