Create a requisition
What this achieves
Section titled “What this achieves”A requisition is the record of a role you are hiring for, and everything else in recruiting hangs off it. Creating one saves a draft; nothing is visible to candidates until you publish it.
Required role: Administrator.
Before you start
Section titled “Before you start”The department must exist, and the position and job profile must exist if you intend to link them. A requisition can be created without a position or a job profile, but linking both is what connects the vacancy to your structure and to skills-based screening.
- Go to Recruiting → Requisitions.
- Select Create Requisition.
- Under Job details, enter the Title and choose the Department.
- Choose the Position. The list is limited to positions in the department you chose.
- Choose the Location, the Grade, and the Employment type.
- Choose the Job profile if the role has one.
- Set the Headcount — how many people this requisition is authorised to hire.
- Under Hiring team, choose the Hiring manager and the Recruiter.
- Under Compensation, set Min salary, Max salary, and Currency.
- Under Job description, write the Description, the Requirements, and the Benefits.
- Under Posting settings, set the Closing date and the visibility switches.
- Select Save draft.
Example: HC Corp opens a Senior Software Engineer requisition in Engineering, based in London, full time, at the same grade James Whitfield sits at, with a range of £65,000 to £75,000 in GBP and a headcount of one.
Job details
Section titled “Job details”| Option | Description |
|---|---|
| Title | What the role is called on the posting and in every list. |
| Department | Which department the role belongs to. It also decides which positions you can choose. |
| Position | The post this requisition fills. Optional, and the reason your establishment shows the vacancy. |
| Location | Where the role is based. |
| Grade | The grade the role sits at. |
| Job profile | The profile describing the role’s requirements. Optional, and required if you want an assessment. |
| Employment type | Full time, part time, contract, intern, or temporary. |
| Headcount | How many people this requisition may hire. |
Choosing the department first is not a preference. The Position list stays unavailable until a department is chosen, and changing the department afterwards clears the position you had selected.
Requiring an assessment
Section titled “Requiring an assessment”Require assessment makes applicants complete an assessment before their application is reviewed.
The switch depends on the job profile rather than on the requisition:
- With no job profile chosen, the panel tells you to select one first.
- With a job profile that has no assessment set up, the panel tells you to configure the assessment on the job profile first.
- Job profiles that already have one are marked as having an assessment in the picker.
Example: HC Corp’s senior engineering job profile carries an assessment, so the requisition using that profile can require it. A profile without one has to be set up in the job profile before the requisition can ask for it.
Posting settings
Section titled “Posting settings”| Option | Description |
|---|---|
| Closing date | When the posting stops accepting applications. Leave it empty for no deadline. |
| Show salary on posting | Displays the salary range to applicants. Off means the range stays internal. |
| Internal only | Only employees can see the posting. |
Example: HC Corp shows the range on an engineering posting to reduce time wasted on both sides, and keeps a senior finance role internal-only while it tests whether someone in the business wants it.
What the status means
Section titled “What the status means”| Option | Description |
|---|---|
| Draft | Created but not published. No candidate can see or apply to it. |
| Pending approval | Waiting for a decision before it opens. |
| Open | Live and accepting applications. |
| On hold | Paused. |
| Filled | Closed because the hire was made. |
| Cancelled | Closed without a hire. |
What happens next
Section titled “What happens next”The requisition is saved as a draft and appears on the requisitions list with its own requisition number. Publishing is a separate step, and it is what produces the apply link and puts the role in front of candidates.
