Build a talent pool
What this achieves
Section titled “What this achieves”A talent pool is a named group of employees you want to be able to find again — bench strength for a role, a set of people with a scarce skill, or a shortlist you are developing deliberately. Membership can be defined by criteria and recomputed, or curated by hand.
Required role: Administrator. Talent pools are visible to administrators only.
-
Go to Opportunities → Talent Pools.
-
Select Create Pool.
-
Enter the Name and a Description.
Example:
Engineering bench. -
Under Criteria, set as many of the criteria as apply.
-
Select Create pool.
-
Open the pool and use Add Member to add anyone the criteria will not reach.
-
Select Recompute Membership when the criteria or the workforce have moved on.
The criteria
Section titled “The criteria”| Option | Description |
|---|---|
| Target job profile | The role the pool is bench strength for. |
| Target position | A specific post the pool is aimed at. |
| Min readiness | A minimum readiness score, 0 to 100. Requires a target job profile — the form says so, because a readiness score has to be against something. |
| Min grade level | A minimum grade level, 1 or higher. |
| Required skills | Skills a member must hold. |
| Required competencies | Competencies a member must hold. |
| Departments | The departments to draw from. |
A pool with no criteria at all is a manual pool, and the detail screen says as much: members are added manually.
Example: an engineering bench at HC Corp UK Ltd sets a target job profile, a minimum readiness score, and the Engineering department. A pool of six named people being groomed for a specific succession does not — that is a decision, not a definition, so it stays manual.
Recomputing changes membership in both directions
Section titled “Recomputing changes membership in both directions”Recompute Membership re-evaluates the pool’s criteria against every active employee. It adds new matches and removes employees who no longer qualify.
That second half is the part to be deliberate about. A criteria pool is a live definition, not a saved list, so somebody whose readiness score has not been refreshed, or whose department changed, can drop out without anyone deciding they should.
For a pool without criteria, recomputing only updates the last-refreshed time. It does not remove your manual members.
Each pool shows Last refreshed so you can see how current the membership is. Never means it has not been recomputed since it was created.
Members
Section titled “Members”| Option | Description |
|---|---|
| Employee | Who is in the pool. |
| Status | The member’s state in the pool. |
| Readiness | The readiness recorded for that member. |
| Notes | Why they are in the pool. |
| Added | When they joined it. |
The member list shows active members only; removed and placed members are filtered out. So the count on the pool is current membership, not everyone who has ever been in it.
Add Member takes an employee and an optional note about why they belong in the pool. Write the note. For a manual pool it is the only record of the reasoning, and a pool of names with no reasons cannot be reviewed by anybody who was not in the room.
Who can see a pool
Section titled “Who can see a pool”Only administrators. Both the pool list and any individual pool refuse to open for anyone else, and say so.
Nothing tells an employee they are in a talent pool. There is no notification, nothing on their profile, and nothing on their own career screens. Being in a pool is a working note about how you are thinking, and it should stay a management record until somebody decides to have a conversation about it.
What happens next
Section titled “What happens next”Pools are how a group of people stays findable when the reason for grouping them is not a department or a job title. A bench pool aimed at a job profile is the input to succession and to internal staffing decisions; a skills pool is who you look at first when the work arrives. Membership stays accurate only if it is recomputed, so treat the last-refreshed date as part of the pool rather than as trivia about it.
