Schedule an interview
What this achieves
Section titled “What this achieves”Scheduling an interview sends the applicant an invitation with when and where it is happening. The details stay attached to their application, so anyone reviewing it later can see what was arranged.
Required role: Administrator or Manager.

Go to Opportunities → Browse and open the opportunity.

Select the Applicants tab, then Review on the applicant.

Under Interview, select Schedule interview.

Set the Date and time.

Enter the Location.
Example:
Conference Room Bat the London office, or a video meeting link. -
Enter the Notes.

Select Send invitation.
The applicant is told
Section titled “The applicant is told”The dialog states what happens on sending: the candidate is notified by email and in the application. They do not have to be chased separately, and they will see the date and time on their own application.
Nothing is asked of the applicant in return. There is no accept or decline step, so confirm attendance the way you normally would.
Options in this dialog

| Location | Where it is. A room, an address, or a video meeting link. |
| Notes | The agenda, who is on the panel, and anything the applicant should bring. |
Write the notes for the applicant. An internal candidate is a colleague who still deserves to know who they are meeting and what will be covered.
Example: an applicant for an engineering opportunity at HC Corp UK Ltd is told the panel includes Olivia Bennett and that the session covers a technical discussion. That is a better use of the field than leaving it empty.
When scheduling is available
Section titled “When scheduling is available”Scheduling is offered while an application is submitted, under review, or shortlisted. Past that point the option is not available, which is what the screen tells you if you try.
Schedule before you move somebody to Interviewed. That status records that the interview has happened.
Rescheduling and cancelling
Section titled “Rescheduling and cancelling”Once an interview is scheduled, its date and time are shown on the application along with two further actions.

| Reschedule | Opens the same dialog with the existing details. Saving replaces them. |
| Cancel interview | Removes the scheduled interview. The application itself is untouched. |
Cancelling an interview does not reject the applicant or change their status. If you are ending their application, do that separately in the review panel.
Where no interview is scheduled
Section titled “Where no interview is scheduled”The application says so plainly, and prompts you to schedule one to invite the candidate. An applicant with no interview scheduled has not been overlooked by the system — nobody has arranged one yet.
What happens next
Section titled “What happens next”After the interview, record what you thought in the review panel: a rating, a recommendation, and the strengths and concerns behind it. Move the application to Interviewed to reflect where it has got to, and to Offered or Rejected once the decision is made.
