Create a mandatory learning rule
What this achieves
Section titled “What this achieves”A mandatory rule states which training a group of people must complete and by when. The group is worked out from the scope you choose rather than from a list, so people who join later are picked up.
Required role: Administrator.
Before you start
Section titled “Before you start”Publish the course or build the learning path first. A rule targets one of them, and neither can be selected until it exists.

Go to Learning → Mandatory Rules.

Select Create Rule.

Enter the Rule Name.
Example:
Annual Security Training. -
Under Target learning, choose the Target type.

Choose the Course or the Learning Path.

Under Audience, choose the Scope.

Where the scope needs one, choose the Department, Job Profile, Grade, or Business Unit.

Check the audience count shown, and select View sample to see who matches.

Set the Deadline (days).

Set the Recurrence (months), or leave it as None.

Save the rule.
Target type

Example: scoping induction training to the Operations department at HC Corp UK Ltd reaches its 18 people, and reaches anybody who joins Operations later when the rules are next enforced.
Check the audience before you save
Section titled “Check the audience before you save”The panel tells you how many employees the rule will apply to as you fill in the scope, and View sample lists the first of them by name.
Use it as part of building the rule rather than as a check at the end. A count of zero and a count of everybody look equally deliberate once the rule is saved, and neither will announce itself later.
Where the scope is incomplete, the panel says so rather than showing a misleading number.
The deadline runs from enrolment
Section titled “The deadline runs from enrolment”Deadline (days) is counted from the moment somebody is enrolled, not from a date in the calendar. Everyone gets the same number of days, starting when the rule reaches them.
Example: thirty days on induction training at HC Corp UK Ltd gives a new starter in January until early February, and one starting in September until early October. There is no shared cut-off date.
Recurrence
Section titled “Recurrence”Recurrence (months) makes the requirement come round again after that many months. Left as None, the training is required once.
Set it only where the obligation genuinely repeats. Recurrence on something that needs doing once produces a compliance figure that drops every cycle for no reason.
Creating a rule does not enrol anybody
Section titled “Creating a rule does not enrol anybody”Saving defines the requirement. Nobody is put on the course until the rules are enforced, which is a separate action.
A rule created and never enforced shows an audience and no enrolments, and its compliance figure stays empty.
Editing a rule
Section titled “Editing a rule”Opening a rule shows its target, its audience with a current match count, and its timing, with Edit to change them. Changes apply to who is picked up from that point; enrolments already created are not rewritten.
What happens next
Section titled “What happens next”Enforce the rules to enrol the people who match. From then on the rule carries an enrolled count and a compliance percentage, and anybody past their deadline appears on the overdue list.
