Create a job profile
What this achieves
Section titled “What this achieves”A job profile describes a kind of role — its responsibilities, its qualifications, and the skills and competencies it needs. It is reusable across every position of that role, and its skill mappings are what a person is scored against.
Required role: Administrator.
Before you start
Section titled “Before you start”Create the job families the profile will belong to, and the skills and competencies it will map. A profile with no mapped skills describes a role nothing can be compared against.
- Go to Organization → Job Profiles.
- Create a new profile and complete its Description, Responsibilities, and Qualifications.
- Under Requirements, set the Education and Experience.
- Select Map Skill for each skill the role needs, setting its weight and flags.
- Select Map Competency for each competency the role needs.
- Select Publish.
Skill mappings are scoring inputs
Section titled “Skill mappings are scoring inputs”Each mapped skill carries three settings, and they are what gap analysis uses rather than documentation.

| Weight | The scoring weight for gap analysis, from 0.1 to 10. |
| Required for this role | On means required. Off means preferred or nice-to-have. |
| Critical | A must-have. The required level must be met, with no partial credit. |
The critical flag behaves differently from the others: a person below the required level on a critical skill gets no partial credit for being close, whereas a weighted non-critical skill contributes proportionally.
Example: a senior engineering profile at HC Corp UK Ltd marks its core technical skill critical, so James Whitfield either meets the level or scores nothing for it — while supporting skills contribute in proportion to how close he is.
Weight the skills that genuinely distinguish the role. Weighting everything equally produces a score that says the same thing about everyone.
A mapped skill cannot be swapped
Section titled “A mapped skill cannot be swapped”Once a skill is mapped, the skill itself cannot be changed on that mapping. To map a different skill, remove the mapping and add a new one.
The weight and flags on an existing mapping can be edited normally.
Publish and archive
Section titled “Publish and archive”| Option | Description |

| Publish | Makes the profile available for use. |
| Archive | Withdraws it from use without deleting it. |
| Delete | Removes it. The confirmation states this cannot be undone. |
Archive rather than delete anything positions have referenced, so the description of what a role required remains readable later.
Profiles are reused, positions are specific
Section titled “Profiles are reused, positions are specific”One profile describes the role; a position is an instance of it in a department with a reporting line and a headcount. Two posts doing the same job in different departments share one profile.
Example: HC Corp UK Ltd writes one senior engineer profile and creates positions against it wherever a senior engineer post exists, rather than a profile per post.
What happens next
Section titled “What happens next”A published profile can be attached to positions, and its skill mappings become the requirements a person is compared against — in gap analysis, in readiness scoring against a target role, and in career pathing. It also feeds recruiting, where a requisition describes the role being filled.
