Schedule a 1:1 check-in

A check-in is a booked one-to-one with one of your direct reports, held as a record rather than a diary entry. Scheduling it in advance with an agenda is what turns the meeting from a catch-up into a conversation with a shape.

Required role: Administrator or Manager.

You can only schedule a check-in with someone who reports to you. The employee picker searches your direct reports.

  1. Go to Feedback & 1:1s → 1:1s & Check-ins.
  2. Select Schedule Check-in.
  3. Search for the Employee and pick them.
  4. Set the Date & time.
  5. Add Agenda items, using Add item for each one.
  6. Choose a Linked development plan if the conversation is about one. This is optional.
  7. Select Schedule.

Whatever you put in Agenda items appears on the employee’s own view of the check-in before you meet. That is the point of seeding it: they arrive having thought about the same things you have.

It also means the agenda is not the place for a note to yourself. “Discuss performance concerns” read as an agenda item the day before is not the conversation you meant to have.

Example: Olivia Bennett books a check-in with James Whitfield and seeds three items — the migration handover, his development plan, and workload. He reads those in advance and comes with his own view of each.

The page also shows Scheduled, Completed, Missed, and Completion rate across your team, which is the fastest read on whether your one-to-ones are actually happening.

Use Reschedule to move a check-in to a new date and time. Use Cancel check-in to call it off — the employee sees the check-in as cancelled, and cancelling cannot be undone.

Rescheduling is usually the better answer. A cancelled check-in reads to the person on the other end as a decision about priority.

The check-in appears on the employee’s own 1:1s list with the agenda you seeded, and on your Upcoming tab. When you hold the meeting, open the record to work through the agenda, capture notes and action items, and complete it.
