Monitor skill freshness
What this achieves
Section titled “What this achieves”Skill freshness tracks how long it has been since each held skill was validated, and flags the ones going out of date. It answers whether the capability your records claim is still capability you can count on.
Required role: Administrator or Manager.
- Go to Skills & Competencies → Skill Freshness.
- Use the Freshness filter to narrow to a state.
- Search by employee or skill if you are checking something specific.
- Read the Revalidation Due column for what needs attention.
The four states

| Fresh | Recently validated. |
| Aging | Moving away from its validation date. |
| Stale | Well past validation. |
| Expired | Past the point the configuration treats as current. |
There are four states, not two. Aging is the one to work from — it is the window in which revalidation is still routine rather than remedial.
Example: an HC Corp UK Ltd engineer whose skill has moved to Aging can be reassessed as part of a normal conversation. The same skill at Expired is a gap discovered late.
How freshness is derived
Section titled “How freshness is derived”Freshness decays over time from the date a skill was last validated, at a configured decay rate. Each record shows its Last Validated date and a Revalidation Due date, and a due date that has passed is marked overdue.
Validation comes from assessment. Submitting an assessment for a skill resets the clock the freshness is measured from.
Freshness reports, it does not remove
Section titled “Freshness reports, it does not remove”Nothing here revokes a skill, downgrades a level, or removes anyone from a role. An expired skill stays on the person’s profile marked as expired.
That means enforcement is your process. If holding a current validation is a condition of doing particular work, somebody has to act on this screen — the system will not act for you.
Example: an HC Corp UK Ltd warehouse skill that expires does not stop anyone working. It appears here, and a manager decides.
Reading the columns

| Skill | The skill being tracked. |
| Category | The skill’s category. |
| Status | Its freshness state. |
| Score | The freshness score behind the state. |
| Last Validated | When it was last confirmed. |
| Revalidation Due | When it next needs confirming. |
If the screen is empty
Section titled “If the screen is empty”Freshness data appears once employees have validated skills. An empty screen means nothing has been assessed yet rather than that everything is current — which is a meaningfully different problem.
What happens next
Section titled “What happens next”Working this list means requesting assessments for the skills that need revalidating, which resets their clocks. Where a whole group of skills is ageing together, that is usually a signal for training rather than reassessment — the capability has genuinely moved on, not merely gone unconfirmed.
