Track and close a requisition

The requisition record is where a live vacancy is watched: how many people have applied, how many offers are out, and how much of the authorised headcount is filled. Closing it is what tells everyone the role is no longer being hired for.

Required role: Administrator.

  1. Go to Recruiting → Requisitions and open the requisition.
  2. Read the summary across the top.
  3. Open the Applications tab to see who has applied.
  4. Open the Offers tab to see what is out with candidates.
  5. When the hiring is done, select Mark filled, or Cancel if you are closing without a hire.

Example: an HC Corp requisition authorised for two warehouse operatives shows one of two filled while the second is still in interview, so nobody has to ask whether the role is done.

OffersOffers made against this requisition, with the candidate, the salary, the start date, and the offer’s status.
DetailsThe posted content — description, requirements, and benefits — plus whether an assessment is required and whether the salary range is visible on the posting.

The Details tab is also where you confirm what candidates are actually reading. If the requirements no longer match the conversation your interviewers are having, that is where to fix it.

Both actions close the requisition. Which one you choose is the record of why.

CancelThe requisition is closed without a hire — the role was withdrawn, deferred, or filled another way.

Choose accurately. Cancelled and filled requisitions read very differently when someone reviews what your hiring produced over a year, and the distinction cannot be inferred from the dates.

Example: HC Corp cancels an Operations requisition when the work is absorbed by the existing team. Marking it filled would have implied a hire that never happened and would overstate the headcount that was actually added.

Closing stops the posting accepting applications. Candidates opening the apply link afterwards are told the position is no longer accepting applications.

Deal with the people still in the pipeline first. Closing the requisition does not tell candidates anything, and a board full of live candidates on a closed role is how someone gets left waiting for a call that is not coming.

Reject the applications you are not taking forward, with a reason, before you close.

A closed requisition stays on the list with its status, its applications, and its offers, so the history of the hire remains intact. Candidates who applied keep their records in the talent pool, and can be found again when a similar role opens.
