Apply an employee data template
What this achieves
Section titled “What this achieves”A template switches a whole set of employee record sections on at once, so a new workspace does not have to decide section by section. Applying one replaces whatever configuration you have now.
Required role: Administrator.
- Go to Settings → Employee Data Configuration.
- Under Templates, read what each one contains.
- Select Apply on the template you want.
- Read the confirmation and select Apply.
The templates
Section titled “The templates”| Option | Description |

Each shows how many sections and fields it turns on, so you can see the size of what you are choosing before you choose it.
Applying replaces, it does not merge
Section titled “Applying replaces, it does not merge”The confirmation states this: applying a template replaces your current configuration with that template’s.
Sections you switched on by hand and the template does not include are switched off. Sections you deliberately switched off and the template includes are switched on. Nothing is preserved.
Apply a template when you are setting up or deliberately resetting. Once you have tuned the configuration for how your company works, changing individual sections is the safer route.
Example: applying Complete at HC Corp UK Ltd after switching off the public-sector group would switch it back on, along with everything else that template contains.
Which one to start from
Section titled “Which one to start from”Start narrower than feels right. Every section a template enables is one more thing on the form for whoever creates a record, and switching a section on later is a smaller change than persuading people to stop leaving fields blank.
Essential suits a company that wants a working record quickly. Standard suits most. Complete is a starting point for an HR function that already knows it holds all of it.
Reading your current state
Section titled “Reading your current state”The panel shows which template is currently in effect. Where you have changed sections by hand since applying one, it says the configuration is customised rather than naming a template.
Customised is a normal state, not a warning. It means your configuration reflects decisions somebody made rather than a preset.
Core sections are unaffected
Section titled “Core sections are unaffected”Templates change the optional sections. The core sections an employee record cannot exist without are always present, whichever template you apply.
What happens next
Section titled “What happens next”The new configuration applies to employee forms and profiles across the workspace immediately. Review the result section by section afterwards — a template is a fast way to get most of the way there, and the last few decisions are still yours. Data held in a section a template switches off is not deleted; it stops being displayed.
