Publish and close an opportunity
What this achieves
Section titled “What this achieves”An opportunity is only visible to employees once it is published, and it stops taking applications once it is closed. These are the controls that decide who can see the posting and whether anybody can still apply.
Required role: Administrator or Manager.
Before you start
Section titled “Before you start”Set the requirements first. Matches are published automatically when an opportunity is published, and matching scores against the requirements as they stand at that moment.
- Go to Opportunities → Browse and open the opportunity.
- Select Publish.
- Confirm at the prompt, which states that the opportunity will become visible to all employees.
- When applications should stop, select Close and confirm.
Opportunity status
Section titled “Opportunity status”| Option | Description |
|---|---|
| Draft | Created and not yet visible to employees. |
| Open | Published and accepting applications. |
| Closed | No longer accepting applications. Reached by closing it, or by its application deadline passing. |
| Filled | Somebody has been placed. |
| Cancelled | Ended without being filled. Cannot be undone. |
Example: an engineering opportunity at HC Corp UK Ltd that reaches its application deadline shows as closed without anyone acting on it. Nothing was cancelled, and the applications already received are still there to work through.
Closing and cancelling are different
Section titled “Closing and cancelling are different”Both stop the posting, and they say different things to everyone who applied.
| Option | Description |
|---|---|
| Close | Applications stop. The applications received stay open to review, and somebody can still be selected. |
| Cancel | The opportunity is ended. The confirmation states this cannot be undone. |
Close when you have enough applicants. Cancel when the work is not going ahead.
Publishing generates the matches
Section titled “Publishing generates the matches”Publishing does two things: it makes the posting visible, and it starts matching across employees. Matches appear on the opportunity sorted by score, and a written explanation of the strongest ones follows shortly afterwards rather than immediately.
You do not have to wait for the explanations to start reviewing. The scores and the gap breakdown are there as soon as matching completes.
Marking an opportunity as filled
Section titled “Marking an opportunity as filled”The Fill action is not currently available, and marking an opportunity filled from an accepted application is not yet wired up. Close the opportunity when you are finished with it, and treat the accepted application as the record of who was chosen.
For a permanent move, the record that matters is the mobility request, because that is what changes the person’s position.
A closed opportunity is read-only
Section titled “A closed opportunity is read-only”Once an opportunity is closed, cancelled, or filled, its detail screen shows that it is read-only alongside its status, and the editing controls are no longer offered. What was captured stays visible — applicants, matches, and the change history are all still there to read.
What happens next
Section titled “What happens next”Published opportunities appear in the marketplace and reach matched employees as recommendations. Applications arrive on the Applicants tab, where they are reviewed, shortlisted, and scored. Closing the opportunity ends the intake without ending the review.
