Work the applicant list
What this achieves
Section titled “What this achieves”The Applicants tab lists everybody who has applied to an opportunity, with their match score and where each application stands. It is where applications are triaged before anybody is interviewed or scored in detail.
Required role: Administrator or Manager.
- Go to Opportunities → Browse and open the opportunity.
- Select the Applicants tab.
- Read the list, which shows each applicant’s Status, Match, and when they were Submitted and Reviewed.
- Select Review on an applicant to open their application.
- Select Shortlist on an applicant you are taking forward, and confirm.
Shortlisting reveals an anonymous applicant
Section titled “Shortlisting reveals an anonymous applicant”This is the most consequential action on the screen, and the confirmation says what it does before you take it: the applicant moves to Shortlisted and becomes identifiable on the list.
An applicant who applied anonymously is shown without a name while their application is Submitted or Under Review. From Shortlisted onwards their name is visible, and there is no way back.
Example: an anonymous applicant to an HC Corp UK Ltd opportunity is named the moment somebody shortlists them. If you are not yet ready to take that step, review the application without shortlisting.
Read the cover letter and the match breakdown before shortlisting rather than after. Everything you need to triage is available while the applicant is still anonymous.
Who else can see this list
Section titled “Who else can see this list”Applicant lists are available to administrators and managers, not only to the hiring manager on the posting. Assume colleagues outside the hiring team can see who applied.
That is worth knowing before you discuss an applicant, and worth telling your employees before they apply.
Application status
Section titled “Application status”| Option | Description |
|---|---|
| Submitted | Received and not yet looked at. |
| Under Review | Being considered. |
| Shortlisted | Taken forward. The applicant is identifiable from here on. |
| Interviewed | The interview has taken place. |
| Offered | Offered the opportunity. |
| Accepted | Taken for it. |
| Rejected | Not taken forward. |
| Withdrawn | Withdrawn by the applicant. |
The Shortlist action is offered only while an application is still at Submitted or Under Review. Past that point, status is changed from within the review panel.
Referred applicants
Section titled “Referred applicants”Where an applicant was referred by a colleague, the list names who referred them. Treat that as context for reading the application, not as a reason to advance it.
Reading a match score here
Section titled “Reading a match score here”The Match column shows the score calculated for that applicant against this opportunity’s requirements. It reflects what has been recorded about the person and nothing else.
Use it to order your reading, not to decide. An internal applicant with a modest score and a specific, credible cover letter is a stronger prospect than a high score with nothing behind it — and the score cannot tell you which you have.
When nobody has applied
Section titled “When nobody has applied”The tab says so plainly rather than showing an empty table. If an opportunity has been open for a while with no applications, the usual causes are a posting marked confidential, requirements set so high that matching surfaced nobody, or a job profile with no requirements to match against.
What happens next
Section titled “What happens next”Shortlisted applicants are the pool you interview and score. Scheduling an interview is available while an application is submitted, under review, or shortlisted, and detailed evaluation — a rating, a recommendation, strengths, and concerns — happens in the review panel. Accepting somebody is a status change made there.
