Send an offer and track the response

Sending puts an approved offer in front of the candidate and produces the link they use to read and answer it. From that point the offer’s status is the record of where the answer stands.

Required role: Administrator.

  1. Go to Recruiting → Offers and open the approved offer.
  2. Select Send to Candidate.
  3. On the Candidate Offer Link panel, select Copy Link.
  4. Share the link with the candidate.
  5. Watch the offer’s status for their answer.

The offer page shows the terms and the letter, and asks for an answer.

Accept this offerThe candidate confirms they have read and accept the terms, and types their full legal name.
Decline offerThe candidate declines, with an optional reason.

Accepting is recorded as an electronic signature. The candidate is told at the point of accepting that their name, the time, and their IP address will be recorded, and those details are then shown on the offer as who signed and when.

Example: an engineering candidate at HC Corp accepts on 15 September 2026. The offer shows the signature, the timestamp, and the address it was accepted from, so the acceptance is evidenced rather than remembered.

Read the decline reasons. One decline is a candidate; a pattern of declines on salary is a pay range problem, and the reasons are the only place that shows up.

Withdraw is available while an offer is pending approval, approved, or sent. A candidate opening a withdrawn offer is told it is no longer active and to contact you.

Withdrawing an offer someone is still considering is a significant act. Do the conversation first and the status change second.

The expiry period comes from the template unless you set a different one on the offer. Once it passes, the candidate is told the offer has expired and when.

An expiry that passes because nobody followed up is an avoidable loss. Watch Pending offers on the recruiting dashboard rather than relying on the candidate to chase you.

An accepted offer is ready to become an employee record, which is a separate step you run rather than something that happens on acceptance. Until you run it, the candidate has accepted but no employee exists.
