Start a request for someone on your team

Most things a manager needs to do about one of their people start from that person’s card in My Team. Each one raises a request that goes for approval, rather than changing anything on the spot.

Required role: Administrator or Manager.

  1. Go to My Team.
  2. Find the person on the list.
  3. Select the action you need on their card.
  4. Fill in what the request asks for.
  5. Submit it.

Assign trainingStarts a training request for that person. Where a cost is involved, it routes for approval rather than being granted straight away.
BackfillAsks for a replacement for that person’s role. An approved request becomes a draft job requisition in recruiting.
Probation decisionRecords your decision for a report whose probation is ending. It routes to HR.
Request terminationAsks HR to begin a leaver process. You raise it; HR decides and carries it out.

Two things on this screen are not on a person’s card.

Request position sits at the top of My Team, next to the count of your reports. It asks for a new role on your team rather than doing anything to an existing person, which is why it is not attached to one.

Probation decision appears on a card only while that person is actually on probation. If you cannot see it, that report is not on probation.

Example: Olivia Bennett sees Probation decision on a new engineer’s card and not on James Whitfield’s, because James finished his probation two years ago.

The remaining two actions on a card raise nothing. View profile opens the person’s record, and Check-in opens their feedback so you can start a one-to-one.

None of these actions completes anything by itself. Each becomes a request that follows whatever approval route your organization has configured.

Example: Olivia Bennett raises a backfill for an engineer who has resigned. Nothing is advertised until HR approves it and the draft requisition is published.

The person is not told a termination request exists

This one is worth stating plainly. A manager can request a termination but cannot carry one out, and the person being discussed is not notified that a request is pending. HR approves it, and carrying it out is a separate step again.

Example: if Olivia Bennett raises a termination request, the report does not receive a notification about it. What they hear, they hear from a person.

A probation decision is easy to miss, because nothing happens on the day it falls due. So any report of yours who is on probation is listed in a Probation reviews table at the top of My Team, soonest first, and anyone close enough to their end date is flagged as Review due.

Example: Tom Hargreaves finishes a six-month probation on 30 September 2026. His manager sees it coming rather than noticing it in October.

Select Make decision on that row to raise the decision without hunting for his card. Once you have raised one, the row reads Decision pending instead.

Approved requests land in the section that owns the outcome: a backfill becomes a draft requisition in recruiting, an approved training request becomes an enrolment or a booking, and a confirmed probation updates the employee record. You can follow any of them in approvals.
